Getting started

  • CareLedger is a digital platform designed to help organisations and professionals manage care-related records, documentation, and operational workflows securely and efficiently.

  • CareLedger is available to individuals and organisations granted access under a commercial arrangement with CareLedger Pty Ltd or through an authorised organisation.

  • Accounts are created through an invitation or registration process provided by your organisation or CareLedger. Follow the instructions provided during onboarding.

Account management

  • All CareLedger logins are secured via email-based OTP. Each time you log in, a secure one-time password is sent to your registered email address. There is no permanent password.

  • Yes. You can update profile details such as your name and contact information directly within your account settings.

  • Please contact CareLedger support to request account deactivation or closure. Additional verification may be required.

AI assistant and safety

  • CareLedger Assist is a safety-aware assistant on top of your live care record. You ask in plain English (for example "who is due for meds before lunch?") and it renders one of the verified cards your team already uses in the MAR. The model never returns free-form clinical text and never writes to a chart.

  • No. The assistant is read-only and draft-only by design. Every clinical write still goes through the audited MAR with the same checks and signatures as before. The assistant can show you what is due, draft a family message, or summarise a shift; it cannot act on your behalf.

  • No. The model only sees the fields explicitly returned by the tool it called. It cannot read your database directly, cannot run free-form queries, and cannot see chart notes that have not been requested by an allow-listed tool. Each tool ships with a defined input and output shape that our backend enforces.

  • No. Dose math (milligrams per kilogram, sliding-scale insulin), allergy checks, drug interactions, PRN authorisation, and clinical alarms all run on validated, deterministic engines inside CareLedger. The assistant can surface their result; it cannot replace them. Our privacy policy says it plainly: CareLedger does not provide clinical decision support, and the assistant does not change that.

  • All assistant calls are processed in our Australian region. Inference runs in-region under a written Data Processing Agreement that prohibits training on your prompts. Participant records never leave the Sydney and Melbourne ISO 27001 region.

  • Yes. We log every prompt, every tool call, every value each tool returned, and the card the user actually saw, with user, participant, and shift context. Retention matches the clinical audit log. Your compliance officer can replay any session.

  • Every rendered card carries a banner reminding the user to confirm in the MAR before acting. The fixed clinical workflow is the source of truth; the assistant is a navigator. If a card looks wrong, the audit log lets you reproduce the exact prompt, tool calls, and data the model saw.

  • Yes, at all three levels. AI is a per-tenant feature flag, a per-role permission, and a per-participant opt-out. You can run CareLedger with the assistant fully off, on for coordinators and supervisors only, or on for everyone with specific participants excluded. The opt-out is recorded in the audit log.

  • Voice input is on the roadmap for hands-busy support-worker use cases (routine playback, medication check-in). The same safety constraints apply: voice prompts become text prompts, render the same verified cards, and never trigger a clinical write on their own.

  • We treat the model as an implementation detail. We use a leading Australian-region-available frontier model under a written Data Processing Agreement, and we evaluate alternatives quarterly. Our boundary (read-only, draft-only, verified cards, audit-logged) is the same regardless of which model we use, by design.

Subscriptions and billing

  • CareLedger offers Basic, Starter, Premium, Enterprise, and Individual Starter Pack plans. Features and pricing are displayed on our website and within the app.

  • Subscriptions are billed in advance on a recurring basis (monthly or annually, depending on your plan).

  • Yes. You can upgrade or downgrade subject to availability. Upgrades may take effect immediately; downgrades generally apply at the end of the current billing cycle.

  • Payments are processed via secure third-party providers and may include credit or debit cards and other supported payment methods.

  • Except where required by Australian Consumer Law, payments are non-refundable. Please refer to the Payment Policy for full details.

Using CareLedger

  • You may store user profile information, organisational details, and care-related documentation as permitted by your role and applicable laws.

  • You are responsible for ensuring you have lawful authority and required consents to upload personal or sensitive information, including client records.

  • Data export options may be available depending on your subscription plan and permissions. Contact support if you require assistance.

Privacy and data security

  • CareLedger uses reasonable administrative, technical, and physical safeguards to protect personal information in accordance with Australian privacy laws.

  • Data is primarily hosted in Australia. In limited cases data may be transferred internationally with appropriate safeguards.

  • If a data breach occurs that is likely to result in serious harm, we will comply with our obligations under the Privacy Act 1988 (Cth) and notify affected individuals where required.

Technical support and issues

  • Ensure you are using the latest version of the app and have a stable internet connection. If the issue continues, contact CareLedger support.

  • Yes. CareLedger is available via web browsers and supported mobile platforms (Android and iOS).

  • We maintain regular backups in line with industry standards, subject to technical and operational limitations.
