Payment policy

How payments, subscriptions, billing, and related matters are handled for CareLedger Services.

This Payment Policy outlines how payments, subscriptions, billing, and related matters are handled for users of the CareLedger website, web platform, and mobile applications (Android and iOS) (together, the Services).

This Payment Policy should be read together with the CareLedger Terms and Conditions and Privacy Policy. In the event of any inconsistency, the Terms and Conditions will prevail.

1. About CareLedger

CareLedger is operated by CareLedger Pty Ltd (ABN: 44 280 421 1850) (we, us, our). CareLedger is provided to users under a commercial arrangement between CareLedger Pty Ltd and the organisation that grants you access to the Services.

2. Subscription-based services

Access to the Services is provided on a subscription basis. We may also offer free trials, introductory offers, or promotional pricing from time to time. Unless otherwise stated, any free trial or promotional period will automatically convert to a paid subscription at the end of the trial period, and applicable Subscription Fees will be charged using your nominated payment method.

Available subscription plans may include:

  • Basic
  • Starter
  • Premium
  • Enterprise
  • Individual Starter Pack

Subscription features, pricing, billing cycles, and availability are displayed on the CareLedger website or within the application and may change from time to time.

3. Pricing and fees

  • All prices are displayed in Australian Dollars (AUD) unless stated otherwise.
  • Prices may be inclusive or exclusive of GST, as indicated at the point of purchase.
  • We reserve the right to update pricing at any time. Any changes will apply only at the start of your next billing cycle.
  • You are responsible for ensuring that the selected subscription meets your business or operational needs.

4. Billing cycle

  • Subscriptions are billed in advance on a recurring basis (monthly or annually, depending on the plan selected).
  • Your billing cycle begins on the date your subscription is activated.
  • Subscription fees will automatically renew unless cancelled prior to the end of the current billing period.

5. Payment methods

Payments may be made using the payment methods made available on the CareLedger platform, which may include:

  • Credit or debit cards
  • Other third-party payment solutions

Payments are processed securely by third-party payment service providers. CareLedger does not store full payment card details.

6. Third-party payment providers

We use reputable third-party payment processors to manage transactions. By making a payment, you also agree to the terms and privacy policies of those providers.

CareLedger is not responsible for errors, outages, or security incidents caused by third-party payment systems.

7. Failed payments

If a payment fails or is reversed:

  • we may attempt to reprocess the payment;
  • access to the Services may be suspended until payment is successfully processed; and
  • you remain responsible for all outstanding fees, including any bank or processing charges incurred.

8. Refunds and cancellations

8.1 Refund policy

Except where required by Australian Consumer Law, all payments are non-refundable. We do not provide refunds for:

  • change of mind;
  • unused subscription periods;
  • partial use of Services.

8.2 Subscription cancellation

You may cancel your subscription at any time through your account settings or by contacting support.

Upon cancellation:

  • no further charges will apply after the current billing period;
  • access to the Services will continue until the end of the paid period; and
  • any outstanding fees become immediately payable.

9. Plan changes and upgrades

  • You may upgrade or downgrade your subscription plan subject to availability.
  • Upgrades may take effect immediately, with prorated charges applied where applicable.
  • Downgrades will generally take effect at the end of the current billing period.

10. Taxes

You are responsible for any applicable taxes, duties, or government charges associated with your subscription, except where expressly included in the listed price.

11. Invoices and receipts

  • Electronic invoices and receipts may be issued and made available via your account or email.
  • You are responsible for ensuring billing contact details are accurate and up to date.

12. Suspension or termination for non-payment

We reserve the right to suspend or terminate access to the Services if:

  • subscription fees remain unpaid;
  • payment methods are invalid or expired; or
  • fraudulent or unauthorised payment activity is suspected.

Suspension or termination does not release you from your obligation to pay outstanding amounts.

13. Chargebacks and disputes

If you initiate a chargeback or payment dispute without first contacting us:

  • we may suspend your account while the dispute is investigated; and
  • you may be liable for additional fees imposed by payment providers.

We encourage you to contact us first to resolve billing concerns promptly.

14. Changes to this payment policy

Service availability and billing operations may be affected by events beyond our reasonable control, including circumstances described under the Force Majeure provisions of the CareLedger Terms and Conditions.

We may update this Payment Policy from time to time to reflect pricing, legal, or operational changes. Updated versions will be published on our website and take effect immediately. Continued use of the Services constitutes acceptance of the updated policy.
